Job Title- Project Coordinator
Contract Duration- 4 Years
Work Location- Chai Chee Road
Working Hours: 8:30 AM – 6:00 PM
Job Responsibilities
The Candidate will be responsible to track, compile and organize project related activities to ensure that all aspects of a project are organized and conforms with the timeline and deliverables requirement.
The Candidate will be responsible to report project risks and outcomes to project managers and stakeholders.
The Candidate will be responsible to ensure all important documents are updated with accuracy and proper versioning control.
The Candidate will act as a liaison between vendors and users in acceptance testing (UAT).
The Candidate is expected to take on project tracking and follow ups of new application systems when they become operational.
The Candidate will assist users and answer queries regarding the supported operational systems.
The Candidate is expected to interface with the helpdesk agents, end-users and external vendors during application support and problem resolution.
The Candidate shall assist the Project Manager in site visits as required and work beyond office hours, including before/after operating hours, weekends and public holidays as needed for project activities, deployments and UAT.
The candidate shall report to the Project Manager in tracking and managing the project timelines and resources that he/she has been assigned to undertake
Job Requirement
The Candidate shall possess at least a Diploma in Information Technology (IT), Computer Science or equivalent qualification (related to role).
The Candidate shall have at least one (1) year of working experience in the IT support/IT admin role in Infocomm industry, with exposure to project coordination across different departments.
The Candidate main role is to assist Client's project manager and to complement his/her responsibilities.
The Candidate is to be proficient in information gathering and reporting that includes:
Compile and organise project-related information
Schedule and organise meetings with stakeholders and vendor
Prepare agendas and take detailed minutes
Follow up on action items from meetings
Prepare regular status reports for the project manager
The Candidate is to be proficient in document management that includes:
Maintain and organise all project-related documents including minutes of meetings provided by vendor.
Ensure version control of important files
Create and update project documentation as needed
The Candidate is to be proficient in stakeholder communications, timeline and milestones tracking that includes:
Act as a liaison between Client's project manager and internal stakeholders
Distribute project updates and communications
Manage and respond to routine project-related queries
Monitor project timelines and alert project manager of any potential delays
Track milestone completions and deliverables
Update project management tools with current progress
The Candidate is to be proficient in quality control support and change request management that includes:
Assist in coordinating quality assurance activities
Help manage and conduct the user acceptance testing (UAT) process
Collect and organise feedback from UAT sessions
Log and track change requests
Assist in assessing the impact of proposed changes
Help communicate approved changes to relevant parties
Create and plan out test scenarios
The Candidate is to be proficient in vendor coordination and administrative support that includes:
Assist in managing day-to-day interactions with vendors
Track vendor deliverables and performance
Coordinate vendor meetings and communications
Handle project-related administrative tasks
Help coordinate training sessions for internal staff
Assist in co-creating training materials with vendor.
Support the security onboarding of new team members from vendor to the project
Support in post implementation.
The Candidate shall have a good command of English and effective communications skills to interact and coordinate with end-users. This includes gathering user requirements, communicating proposed vendor solution, supporting user acceptance testing, supporting end-user training, and resolving issues with helpdesk agents and external vendors.
The Candidate shall demonstrate competency in Microsoft applications including Word, Excel and Outlook.
The Candidate is to have working knowledge in Project Management tracking tools such as ServiceNow.
