Job Description

Requirements
* Manage FM related issues submitted either through the Authority’s case reporting system, or any other avenues (e.g. email, phone call etc)

* Coordinate with appointed vendor to resolve the issues and follow up to verify that issues have been resolved

* Update users on status of issues

Approximately 70 cases per month

 

*Key Management*

* Manage keys for room/cabinets/lockers (e.g. key issuance and retrieval, unlock pedestals/cabinets for staff who have forgotten their passcode).

Approximately 25 requests per month

 

*Office Furniture Management*

* Manage loan and return of office furniture (e.g. tables and chairs)

Approximately 10 requests per month

 

*Office Management*

* Escort and supervise landscaping vendor during regular maintenance

* Take meter readings for tracking of utilities consumption

* Oversee cleaning, disposal of trash & pest control to ensure that the office space is clean and tidy. This includes coordinating cleaning schedule for enclosed rooms.

Landscaping: Twice per month

Taking meter reading: Once per month

Office cleanliness: Once per day

 

*AV Systems Management*

* Troubleshoot AV systems related issues and assist with the setting up of AV systems where necessary

Once per week

 

*Fire Safety Management*

* Take on Fire Warden role. Includes regularly checking office space to ensure no fire hazards or obstructions to emergency exits

* Check that fire extinguishers are not expiring/expired.

* Liaise with stakeholders for the maintenance of fire extinguishers

No. of fire extinguishers: 90

Fire drills: 2 per year

Checking for hazards/obstructions: Once per day

Maintenance of fire extinguishers: Once per year approximately
