Job Description
The Services required are set out as follows:
Front desk duties
• Attend to telephone and walk-in inquiries from students, parents,
vendors, visitors, customers etc and where appropriate, direct them to
the relevant departments/staff-in-charge for follow-up.
• Attend to all incoming mail and distribute them to the relevant staff.
• Issue keys to students and staff.
• Organize and upkeep the updated copies of administrative
documents, and distribute them to relevant teachers and/or students
when necessary.
• Issue relevant forms and documents to staff as and when requested.
• Attend to students in the sick bay.
• Maintain student injury logbook and follow up with staff and parents in
accordance with safety SOPs.
• Contact parents of students who are unwell or students who are
dismissed early.
• Retrieve and update daily staff attendance reports from school system.
• Maintain time-off logbook for all staff and check that time-off
applications are duly approved.
• Attend to loss-and-found cases and maintain proper records.
Administrative support duties
• File procurement and payment documents for all departments, and
check that they are duly signed.
• Upkeep payment record files and check that all payment vouchers are
accounted for.
• Check monthly ad hoc bus booking records and tally with vendor’s
billing report. Follow up with vendor and school staff on discrepancies.
• Assist with temperature taking exercise for staff and other ad hoc
school exercises.
